Our Data Collection Declaration
Why we collect personal information, what we collect, how we use it, and how we protect it.
Last updated: 1 November 2026
1. Who we are
School Wale is a school management software product of Arkas Labs ("we", "us", "our"). This policy covers this website (https://schoolwale.co.in), the School Wale web application and the School Wale mobile app.
We follow the Digital Personal Data Protection Act, 2023 and its Rules, and the Information Technology Act, 2000 and the rules made under it.
2. Our role
- Website visitors and demo requests: we decide why and how this data is used, so we are the Data Fiduciary.
- School ERP data (students, parents, staff, attendance, fees, marks and similar records): the school is the Data Fiduciary. We act as the school's Data Processor and handle this data only on the school's instructions and under our agreement with the school. Requests about ERP data should go to the school first; we will help the school respond.
3. Data we collect and why

When you visit the website
Only if you accept analytics cookies: pages visited, approximate location, device and browser type, and how you reached the site. We use this to understand which pages are useful and to improve the site.
When a school uses School Wale
The school decides what to record. This typically includes student and parent details, staff details, admissions, attendance, homework, examinations and results, fee records, leave, timetable, library and calendar data, and login details for authorised users. It is collected to run the school's administration and to keep parents informed.
We do not ask for more data than we need for these purposes.
4. How we use data
- To respond to demo requests and enquiries, and to arrange a walkthrough
- To provide, support and maintain the School Wale service for schools
- To keep the service secure, prevent fraud and investigate misuse
- To improve the website (only with your analytics consent)
- To meet legal obligations
We do not sell personal data. We do not use student data for advertising, and we do not track or build profiles of children.
5. Who we share it with
- Our hosting provider, which stores data on servers in India
- Email delivery providers used to send notifications
- Google Analytics, only if you accept analytics cookies
- Government or law enforcement authorities, when the law requires it
These providers may use the data only to provide their service to us and must keep it confidential and secure.
6. Where data is stored
Website enquiries and School Wale ERP data are stored on servers in a data centre in Mumbai, India. Google Analytics data, if you consent to it, is processed by Google, which may process it outside India.
7. How long we keep it
- Demo requests and enquiries: 3 months from the date you submit them, unless your school becomes a customer. After that we delete them.
- School ERP data: for as long as the school uses School Wale. When the school's account ends, we return or delete the data as agreed with the school.
- Security logs: for at least one year, as required by law.
We may keep data for longer only where the law requires us to.
8. How we protect it
- All traffic to the website and apps is encrypted with HTTPS
- Each school's data is kept separate from other schools
- Role-based access, so users see only what their role needs
- Audit logs of sign-ins and important changes
- Backup copies of enquiries are encrypted
- Rate limits and security checks on public forms
- Access for our team is limited to staff who need it, under confidentiality obligations
No system is completely secure, but we review and improve these safeguards regularly.
9. Children's data
This website is meant for schools and adults. We do not knowingly collect data from children through it.
Schools use School Wale to manage student records. Under the DPDP Act, anyone under 18 is a child. The school is responsible for getting verifiable consent from a parent or guardian. We process student data only for the school's purposes. We never use it for tracking, behavioural monitoring or targeted advertising.
10. Cookies and analytics
We use a few essential cookies to make the website work, for example to protect the contact form. These do not need consent.
With your consent, we use Google Analytics and Google Tag Manager to measure how the site is used. They do not load until you accept them. You can change your choice at any time: .
